A US advisory firm offering M&A advisory, fractional executive and technology consulting needed its whole operation — inbound enquiries, contracts, project delivery, time tracking, invoicing and retainers — to run as one connected system from day one. We built it end-to-end on Zoho One: a lead fills in a web form, and from there the CRM, e-signature, project, file storage and billing steps happen automatically.
A new firm with several service lines and a small team. Every deal type — sell-side M&A, buy-side M&A, fractional executive, tech-stack integration, retainers, project consulting, broker-only — had a different delivery plan and billing model. Doing it by hand meant re-creating projects, folders and contracts for every engagement, and a real risk of an unsigned agreement or an unbilled hour slipping through.
For a professional-services firm, the business is the process: win the work, paper it properly, deliver it on a plan, bill every hour. The owner wanted the process to live in the system — with proper roles, security and an audit trail — rather than in anyone's head.
A website enquiry form creates the lead in Zoho CRM with de-cluttered fields and a segmented enquiry type. The lead gets an instant acknowledgement email and the owner gets a "qualify" task automatically. A seven-stage, probability-weighted pipeline gives a real forecast.
One click on a deal generates an NDA or a combined MSA + SOW from Zoho Writer templates and sends it for e-signature through Zoho Sign. A webhook writes the status — signed, expired, recalled, declined — back to the deal.
When a deal is won, a custom function creates the right Zoho Projects template for that deal type, builds the client folder structure in WorkDrive, and files the signed contracts into it — then links everything back to the deal and account.
Seven project templates, one per service line, each with phases, task lists, owners and durations. Timesheets with approval flow and budget tracking, so every hour is logged against the right engagement.
Approved time flows to Zoho Books as unbilled hours ready to invoice. Stripe for online payment, automated reminders before and after the due date, and monthly retainers on auto-charge through Zoho Billing.
A role hierarchy across CRM, Projects and Books so associates see only their own work and finance is isolated. Mandatory MFA and a hardened password policy. A library of short recorded walkthroughs so the team can onboard themselves.
